Summary

The People Operations/ HR Administrator is responsible for processing employee data, status and documents in a fast-paced environment. This role will require a strong organizational, communication, data processing and basic understanding of Federal and State regulations, as well as company payroll policies and procedures.

Job Description

  • Process and monitor employee (driver and non driver) documentary requirements for salaried and hourly employees, full-time and part-time; ensure the accuracy of data entry.
  • Monitor, review, research and respond to inquiries from employees across all levels via email or phone.
  • Process and review all HR related interfaces
  • Timely review and assess application qualification to ensure minimum qualification requirements are met for hiring, ex. Background and credential review
  • Maintain close relationships with area managers, operations managers, and general managers; assist them with HR related inquiries
  • Process new hires, employee changes, leaves of absence, and terminations according to federal and/or state law
  • Produce monitoring reports, and special ad hoc reports
  • Partner with other departments (i.e. Payroll, Legal, Operations) to maintain strong inter-departmental relationships and ensure high level of customer experience and satisfaction.
  • Assist in identifying and implementing process improvements and automating manual processes where possible.
  • Be a leader by example and live our overall purpose and core values. Foster communication, collaboration, diversity, inclusion, innovation and a productive team environment.
  • Promote a business partner and ownership mindset to the team to prioritize customer service excellence, adoption and resilience to change and continuous improvement.
  • Maintain up to date awareness of industry regulations and market trends to ensure compliance requirements and competitive presence/advantage.
  • Assist in monitoring operational statistics, reports trends, variance and issues and takes appropriate and timely action.
  • Other tasks that may be assigned.

Qualifications and Experience

  • Bachelor's Degree in Human Resources or Management is preferred but not required.
  • Minimum of 2 years in HR administration and/or employee relations will be considered in lieu of degree.
  • HRIS experience is a plus.
  • Experience in processing Canada employees/drivers is a plus.
  • Strong analytical skills using MS Office products including Excel, Power Point, and Access.
  • Experience with HRIS implementation or system/technology changes a plus.
  • Detail oriented, be a self-starter with a positive and "can-do" attitude.
  • Good problem-solving, organizational skills and time management skills.
  • Excellent verbal and written communication skills, including the ability to interact professionally with all levels within the company, the ability to communicate in Spanish &/or French is a plus.
  • Must be flexible and adaptive to the ever-changing market and Lazer Logistics objectives and goals.

Summary
The Director of Fleet Operations provides strategic and operational leadership over Lazer Logistics' fleet maintenance, asset availability, and cost performance across U.S. and Canadian operations. This role is responsible for maximizing fleet uptime while controlling maintenance, repair, and warranty costs through centralized processes, analytics, and continuous improvement.
The Director leads Centralized Maintenance Operations, oversees vendor usage, drives preventative maintenance compliance, and partners cross-functionally with Operations, Finance, and Safety. This role also plays a key leadership role in warranty recovery strategy, fleet analytics, and long-term fleet optimization initiatives.

Job Description
Fleet Maintenance & Operations Leadership
  • Provide enterprise-level oversight of fleet maintenance and repair activities to ensure asset availability, safety, and regulatory compliance.
  • Lead and optimize Centralized Maintenance Operations (CMO) to support field operations with efficient service coordination and data accuracy.
  • Continue to build out the CMO processes, team, and metrics.
  • Partner with Region, Area, and Site leadership to prioritize repairs, resolve safety issues, and minimize asset downtime.
  • Ensure preventative maintenance (PM) compliance across all fleet assets based on mileage, time, and OEM standards.
  • Key KPI's: Operating Ratio (OR), Uptime, Cost per Invoice (CPI), & PM Compliance
Cost Management
  • Review, analyze, and approve vendor estimates, invoices, and purchase orders for accuracy and cost effectiveness.
  • Negotiate repair pricing, service levels, rework, and hold vendors accountable for the terms of the contract.
  • Partner with Director of Fleet Technical & Director of Fleet Management to ensure our vendor network is performing to Lazer standards.
  • Key KPI's: RFP Vendor utilization & CPI
Warranty Management & Financial Recovery
  • Oversee warranty identification, tracking, and recovery efforts to maximize reimbursement from OEMs and suppliers.
  • Establish processes to prevent repeat failures and improve warranty capture through training and analytics.
  • Partner with vendors, manufacturers, and engineering teams to address recurring warranty and quality issues.
  • Maintain accountability for annual warranty recovery budget performance.
  • Key KPI's: Avoided Cost & Warranty Recovery
Analytics, Reporting & Continuous Improvement
  • Leverage Fleet Management Systems (FMS) and data analytics to monitor fleet performance, costs, downtime, and recovery trends.
  • Establish and track KPIs including cost per unit, PM compliance, downtime, RFP utilization, and warranty recovery.
  • Prepare and present fleet performance insights, trends, and recommendations to executive leadership.
  • Drive continuous improvement initiatives across maintenance processes, systems, and vendor strategies.
Telematics & Preventative Maintenance (PM) Compliance Management
  • Provide strategic oversight of fleet telematics platforms (Geotab) to drive safety, asset utilization, maintenance effectiveness, and cost control.
  • Partner with Operations, Safety, and Technology teams to ensure accurate telematics configuration, data integrity, and adoption across the fleet.
  • Leverage telematics data to identify trends related to vehicle health, fault codes, utilization, idling, driver behavior, and maintenance triggers.
  • Establish governance and performance standards for telematics usage to support preventative maintenance, compliance, and continuous improvement initiatives.
  • Own enterprise-level Preventative Maintenance (PM) compliance strategy, ensuring all fleet assets complete scheduled maintenance based on mileage, engine hours, OEM requirements, and regulatory standards.
  • Monitor PM compliance performance through dashboards and KPIs, proactively addressing risks related to overdue service, downtime, or regulatory exposure.
  • Collaborate with Centralized Maintenance Operations (CMO) and field leadership to prioritize PM events and reduce unplanned maintenance and roadside failures.
  • Ensure telematics insights are effectively integrated into Fleet Management Systems (FMS) to drive predictive maintenance and reduce total cost of ownership.
  • Support audits and reporting related to PM compliance, safety, and regulatory requirements.
